This Privacy Policy applies to all users of the GenusOS platform, including advisory firm subscribers, team members of advisory firms, and family clients accessing the platform through an advisor-provided portal or directly. It applies to data collected through genusos.com, app.genusos.com, genusos.io, genus-os.com, and all associated applications and services operated by GenusOS, LLC.

2.1 Information You Provide

We collect information you provide directly when you create an account, set up your firm, invite team members, add family records, upload documents, or contact us. This may include:

• Name, email address, phone number, and job title;
• Firm or organization name, address, and professional credentials;
• Financial and entity information entered into the platform on behalf of client families;
• Documents, files, and records uploaded to the platform;
• Meeting notes, communications, and messages sent through the platform;
• Payment and billing information (processed by our payment processor; we do not store full card numbers);
• Communications you send to our support team.

2.2 Information We Collect Automatically

When you use the Service, we automatically collect certain technical information, including:

• IP address, browser type, operating system, and device identifiers;
• Pages visited, features used, and time spent on the platform;

4.1 With Your Firm

If you are a family client accessing the platform through an advisory firm, certain information you provide may be visible to your advisory firm and their authorized team members. The firm is responsible for managing its team members' access to your information.

4.2 Service Providers

We share information with trusted third-party service providers who assist us in operating the Service, including cloud infrastructure providers, payment processors, AI and machine learning providers, and communication services. These providers are contractually required to protect your information and may not use it for their own purposes.

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of GenusOS, LLC, our users, or the public.

4.4 Business Transfers

If GenusOS, LLC is involved in a merger, acquisition, or sale of all or substantially all of its assets, your information may be transferred as part of that transaction. We will provide notice before your information is transferred and becomes subject to a different privacy policy.

4.5 Affiliates

We may share information with our affiliates, including Pathway Financial, LLC and Entity Edge IP, LLC, for purposes consistent with this Privacy Policy, such as providing the Service or maintaining the technology platform.

We retain your information for as long as your account is active or as needed to provide the Service. Following account termination, we retain Your Content for 30 days to allow for data export, after which it is deleted from production systems. We may retain certain account and billing records for longer periods as required by applicable law or for legitimate business purposes such as resolving disputes or enforcing our agreements.

Audit logs and security records may be retained for up to 7 years in accordance with our compliance obligations.

We implement and maintain reasonable technical and organizational measures to protect your information against unauthorized access, loss, destruction, or alteration. These measures include:

You may request deletion of your account and associated personal information by contacting us at [email protected]. We will process deletion requests within 30 days, subject to our legal obligations to retain certain records.

7.4 Communication Preferences

You may opt out of non-essential marketing communications from us at any time by clicking the unsubscribe link in our emails or contacting us at [email protected]. You cannot opt out of service-related communications such as billing notices, security alerts, and Terms updates.

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal information from a person under 18 without appropriate consent, we will take steps to delete that information promptly.
